We are seeking a reliable and detail-oriented Contract Show Vault Associate to support secure item handling and vault operations during trade shows and events. As an independent contractor, you will help manage the intake, documentation, safeguarding, and transfer of items collected at shows. You will operate as the primary custodian of items within the vault workflow and ensure all handling meets company standards for accuracy, professionalism, and security.

This is a field-based role requiring frequent travel, long show days, and the ability to work independently while representing the company onsite.

What you’ll do:

  • Act as the onsite point of contact responsible for all items entering the vault workflow during shows.
  • Maintain accurate chain-of-custody from initial receipt through end-of-day transfer.
  • Ensure items are properly documented, labeled, stored, and kept in secure areas throughout the event.
  • Maintain organization and control over all vault materials, storage units, and equipment.
  • Prevent unauthorized access to items and escalate concerns as needed.
  • Collect and verify all required customer and item information before accepting items.
  • Maintain clear, organized records throughout the show for all vaulted or consigned items.
  • Reconcile item counts and documentation with other onsite team members to ensure accuracy.
  • Support end-of-day reporting and handoff procedures.
  • Provide clear and consistent explanations of vault or consignment options when approached by customers.
  • Answer high-level questions about timing, next steps, and expectations.
  • Contact customers when required to complete outstanding actions related to their items.
  • Assist with booth setup and teardown including preparing vault equipment, secure storage areas, and necessary materials.
  • Maintain a clean, organized, and professional work area with special attention to secure spaces.
  • Collaborate with other onsite team members to ensure smooth event operations and customer flow.
  • Adhere to company policies regarding professionalism, equipment care, and event conduct.

What you’ll need to be successful:

  • Ability to travel frequently (mostly weekends).
  • Prior experience in secure handling, inventory control, financial operations, or similar roles requiring strict accuracy.
  • Exceptional attention to detail and reliability in record-keeping.
  • Professional communication and customer service skills.
  • Ability to stand for long periods and work extended event days.
  • Comfortable lifting/moving equipment, storage cases, and materials.
  • Basic comfort with tablets, digital documentation tools, and connectivity setup.
  • Must operate as a 1099 contractor
  • Experience in collectibles, auctions processing, event operations or retail vaulting.

Physical & Work Environment Requirements:

  • Ability to stand, walk, and remain on your feet for extended periods of time during events and long show day
  • Ability to sit, stand, bend, reach, kneel, and move between work areas as required
  • Ability to lift, carry, and move equipment, storage cases, and materials weighing up to 50 pounds, with or without reasonable accommodation
  • Ability to work long, irregular hours including weekends, early mornings, evenings, and extended event days
  • Ability to travel frequently and work in varied environments including convention centers, event halls, and temporary booth setups
  • Ability to work in crowded, noisy, and fast-paced environments while maintaining focus and accuracy
  • Ability to use hands and arms for handling items, operating equipment, and using tablets or mobile devices
  • Ability to visually inspect items, labels, and documentation with a high degree of accuracy
  • Ability to communicate clearly with customers and team members in person and in busy environments

Work Environment:

  • Work is primarily performed onsite at trade shows, conventions, and event venues
  • Environment may include variable temperatures, concrete floors, and limited seating during show hours

Compensation:

$28-30 Hourly
