We are a small, hands-on team looking for someone who can hit the ground running. Support and guidance will always be available, but a creative, problem-solving mentality is required.

Your background demonstrates experience in delivering high-level administrative support, including event planning, onsite support, and providing coverage when another team member is unavailable. You realize uniformity and processes are essential and help guide the company as we rapidly scale.

Responsibilities

  • Working cross-functionally with the growing administrative pool on a series of projects, including global events, regional anniversary celebrations, and virtual events

  • Full planning and end-to-end execution of internal offsites and events

  • Onsite management of team offsites and events in North America and Europe (travel required)

  • All event management duties, including venue liaison, guest list management, banquet orders, audiovisual orders, registration desk management, delivery and swag management, and other ad hoc needs

  • Helping to create and maintain processes; you'll speak up when something can be improved!

  • Developing a strong end-user knowledge of the operational tech stack (Gable co-working space, Navan travel, virtual events, swag management, and OKR management platforms)

  • Jumping in and taking on other team member’s projects if the assigned assistant becomes unavailable due to PTO or leave

  • Maintain a perfect track record when it comes to handling confidential information

  • Support company-wide initiatives, such as employee swag/gifting, monthly remote All Hands, and quarterly Hackathons

Qualifications/Requirements

  • Fluent in English (additional language(s) is a bonus)

  • Excellent writing skills; impeccable grammar and punctuation required

  • Valid US passport; eligible entry into the U.K. and EU required

  • 3+ years providing administrative support to multiple teams and/or managers

  • Strong experience with Google Workspace (Docs, Sheets, Gcal, etc.)

  • Experience working within a team on joint projects

  • Experience in planning internal offsites of varying sizes, from 20-200 people

  • Familiarity with event contracts

  • Experience with creating banquet event orders (food & beverage)

  • Willing and excited to travel and be the onsite support at internal meetings and offsite events

  • Creative thinker who is always looking for ways to simplify and solve problems

  • Excellent networker; this is a high-visibility role within Docker

  • Ability to work independently as well as part of a team

  • Available to start early or stay late when events/issues call for it (e.g., company events, travel delays)

  • Ability to demonstrate a methodical and effective approach to projects and deadlines, proactively communicating progress along the way

  • Natural aptitude for learning new tools and systems in a fast-paced environment

  • Strong documentation skills; unless it’s written down and shared, it doesn’t exist

  • Solid time management skills, attention to detail, and impeccable communication tactical skills; we juggle a lot on this team!

  • Active driver’s license preferred; not required

What to expect in the first 30 days

  • Become familiar with the current event planning process and suggest improvements

  • Familiarize yourself with Ops team projects and software applications

  • Become an expert in our travel & expense policies and the Navan travel platform

  • Shadow the lead in the planning of an upcoming offsite

  • Complete introductory JIRA training

What to expect in the first 90 days

  • Will be a known go-to resource company-wide

  • Will have owned the full end-to-end planning of one offsite event

  • Will have provided onsite support and/or management for two offsite meetings (either alone or in partnership with another Operations Assistant, depending on the size of the event)

  • Develop a strong understanding of the OKR framework

What to expect in the first year

  • Will have managed several anniversary parties and multi-day offsite events, including the 2024 or 2025 Sales Kick-Off - one of our largest events

  • Will be an OKR expert and able to work closely with all departments on quarterly OKRs

  • Will have developed a strong knowledge of all Ops applications and responsibilities and be fully capable of providing coverage of any Ops team member when they’re on PTO

  • Will have full ownership of 1-3 Ops initiatives (TBD; examples include swag management, virtual event management, owning help desk support, etc.)
