About the Role:

We're looking for a dynamic Executive Operations Partner based in Tokyo to support our APAC & Japan General Managers. You are a self-starter with outstanding organizational and people skills, and strong attention to detail. You thrive in fast-paced, ambiguous environments where you can move fast and execute at pace.

What You'll Do:

  • Organizational support: Partner with our APAC & Japan GMs run the day-to-day of an efficient and high-velocity organization

  • Calendar management: Coordinate and prioritize the schedules of executives

  • Meeting aficionado: Organize, attend, and track key GTM meetings, manage meeting agendas, notes, minutes, and action items

  • Travel planner: Organize and book flights, hotels, transportation, dining, etc.

  • Expense management of the executives you support

  • Pacesetter: Proactively resolve time-sensitive issues, demonstrating excellent judgment and problem solving skills

  • Communications: Assist with internal communications and logistics for APAC and Japan All-Hands, GTM town halls, coffee chats, etc.

  • Culture carrier and community builder: Raft fun & engaging team offsite experiences, celebrate birthday, anniversaries, and new family members to ensure employees continue to feel connected and recognized

  • Collaborate closely with the Environment team on Japan office related events and initiatives.

Skills You'll Need to Bring:

  • 3+ years of Executive Operations or Assistant experience in a fast-growing startup or multi-national company

  • Organized and detail-oriented: Strong attention to detail, calm under pressure, a quick thinker, creates order in chaos

  • Ability to anticipate executive needs, multitask, and prioritize from an operational standpoint

  • Effective communicator: Ability to communicate the priorities of leadership within Notion, and collaborate with local, regional, and global stakeholders in both English and Japanese.

  • Event planning: Experience organizing large scale internal events, and multi-day events with smaller groups such as executive offsites

  • EQ: Proven ability to build relationships and all levels of the organization

  • Discreet: Demonstrated ability to maintain complete confidentiality on all business matters

  • Approachable, friendly, optimistic, and humble attitude

  • You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results

Nice to Haves:

  • Fundamental business acumen: Ability to understand and synthesize business updates and context in a fast-paced environment, and provide support as needed
